What to look for in event attendee tracking software
Attendee tracking software sits underneath almost every part of running an event, from the first scan at the door to the report your client reads afterwards. If you are choosing a platform, these are the six things it has to get right.
1. Fast, reliable check-in
The first ten minutes set the tone for the day. The software should check people in quickly using whatever they arrive with, handle walk-ins and lost tickets without a queue, and keep working when the venue Wi-Fi does not.
2. Real-time monitoring
You need to see who has arrived, which sessions are filling up and where people are, while you can still do something about it. Look for live dashboards by entrance, session and zone.
3. Security and compliance
Access control should be built in, so only authorised people enter restricted areas, with a log of every decision. Ask where data is hosted, how it is protected and how the supplier handles GDPR, and whether two-factor authentication is required on every account.
4. Useful reporting
Data is only valuable if you can use it. You should be able to build the report each stakeholder needs, share it without handing out logins and export the raw data when you want to dig deeper.
5. Scale and flexibility
The same platform should handle a 300-person leadership event and a 5,000-person conference, and adapt when the brief changes, which it will.
6. Support from people who have done it
Ask who will be on the end of the phone at 7am on show day, and whether they have run an event like yours. Good tracking software is only as good as the setup and support behind it.
Why event teams choose Delekit
