Terms of use

Last updated: 2 September 2026, version 1.0

These terms govern your use of the Delekit platform when you register for, or attend, an event that uses Delekit technology. Please read them alongside the event organiser’s own terms and the Delekit Event Attendee Privacy Notice.

1. About these terms

These Attendee Platform Terms and Conditions (“Terms”) are a legal agreement between you and Delekit Ltd (“Delekit”, “we”, “us” or “our”). They apply whenever you access or use the Delekit platform to register for, manage your participation in, or attend an event.

The Delekit platform is technology that event organisers use to run their events. It may include registration websites and forms, attendee portals, event mobile apps, check-in and badging tools, session scanning, access control, and related features. In these Terms we call all of this the “Platform”.

These Terms cover only your use of the Platform. They do not govern the event itself. Your rights and obligations in relation to the event, such as admission, tickets, pricing, refunds, health and safety, and conduct at the venue, are set by the event organiser under the organiser’s own terms. If there is any conflict between these Terms and the organiser’s terms in relation to the event, the organiser’s terms apply to the event and these Terms apply to the Platform.

2. Who we are

The Platform is operated by:

Delekit Ltd
71-76 Shelton Street
London WC2H 9JQ
United Kingdom
Company number: 09219707

For questions about the Platform you can contact us at support@delekit.com. For questions about how personal data is handled, contact dpo@delekit.com.

3. Definitions

  • Attendee, you or your means any person who uses the Platform to register for, or take part in, an event, including delegates, guests, speakers, exhibitors, sponsors and crew.
  • Organiser means the organisation or person running the event you are registering for or attending, and on whose behalf Delekit provides the Platform.
  • Event means the conference, exhibition, meeting or other occasion run by the Organiser using the Platform.
  • Platform Content means the software, design, text, graphics, logos and other material that make up the Platform, excluding content supplied by the Organiser or by you.
  • Personal data has the meaning given in the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

4. The relationship between Delekit, the Organiser and you

The short version. Delekit provides the technology. The Organiser runs the event and decides how your information is used. Your agreement for the event itself is with the Organiser, not with Delekit.

Delekit is a technology provider. We supply the Platform to the Organiser so that the Organiser can manage registration and attendance. We do not organise, host, promote or control the events that run on the Platform.

For most events, and for data protection purposes:

  • the Organiser is the data controller and decides what personal data is collected and how it is used;
  • Delekit is the data processor and handles personal data on the Organiser’s instructions in order to provide the Platform.

This means we are not responsible for the Organiser’s decisions, including the content of registration forms, the questions you are asked, how the Organiser communicates with you, how the Organiser shares your information with sponsors, exhibitors or partners, or the running of the event. Questions about any of these should go to the Organiser. Where we can identify the relevant Organiser, we will help point you in the right direction.

5. Acceptance and eligibility

By accessing or using the Platform, you confirm that you accept these Terms. If you do not accept them, please do not use the Platform. You may still be able to take part in an event by contacting the Organiser directly.

The Platform is intended for use by people aged 16 or over. Some events are open to younger attendees. Where an event allows registration by or for a person under 16, that registration must be completed by a parent or guardian, or by the Organiser in line with the Organiser’s own rules and the consent requirements of data protection law. The Organiser is responsible for handling the personal data of children in a compliant way.

6. Registering and keeping your details accurate

When you register, you agree to provide information that is accurate, current and complete, and to keep it up to date. Giving false information may affect your registration or your access to the event.

The Platform may give you a way to access your registration, such as a login, a magic link, a confirmation reference, or a personal QR code. You are responsible for keeping these secure and for activity that takes place through them where that results from you not keeping them safe. Please tell us or the Organiser promptly if you think someone else has gained access to your registration.

7. Registering on behalf of other people

If you register other people, for example colleagues or guests, you confirm that:

  • you have their permission to provide their personal data;
  • you have made them aware of how their information will be used, including by referring them to the Organiser’s privacy information and the Delekit Event Attendee Privacy Notice; and
  • the information you provide about them is accurate.

You are responsible for the accuracy of the details you enter for other people.

8. Acceptable use of the Platform

You may use the Platform only for lawful purposes connected with registering for or attending an event. You agree that you will not:

  • use the Platform in a way that breaks any applicable law or regulation, or infringes anyone else’s rights, including intellectual property or privacy rights;
  • use the Platform in a way that is fraudulent, dishonest, abusive, harassing, or harmful to us, the Organiser or any other person;
  • impersonate another person, or use another attendee’s login, link, badge or credential without authority;
  • attempt to gain unauthorised access to any part of the Platform, or to any system, network, account or data connected to it;
  • probe, scan or test the security of the Platform, or get around any security or authentication measure, except through our responsible disclosure process at security@delekit.com;
  • introduce any virus, malware or other harmful code, or place an unreasonable load on the Platform or the systems that support it;
  • use any robot, spider, scraper or other automated means to access, copy or monitor any part of the Platform, or to extract or build a database from it;
  • copy, modify, reverse engineer, resell or create derivative works from any part of the Platform, except as allowed by law; or
  • interfere with the proper working of the Platform or disrupt any other attendee’s use of it.

9. Badges, credentials and access devices

An event may issue you a badge, wristband, pass or other device that carries a QR code, NFC or RFID credential, or that is used with a Bluetooth (BLE) system. These are provided so that you can be admitted to the event and its sessions, and so that attendance can be recorded.

If you are issued one of these, you agree to:

  • keep it safe and use it only for your own attendance, unless the Organiser allows otherwise;
  • not tamper with, copy, clone or interfere with it, or with any reader or scanner; and
  • report a lost, stolen or damaged badge or device to the Organiser or event staff promptly so that it can be deactivated or replaced.

Badges and access devices may remain the property of the Organiser or Delekit and may need to be returned or may be deactivated after the event. Rules about wearing and presenting a badge at the venue are set by the Organiser.

10. Attendance tracking and scanning

During an event, the Platform may be used to record participation. Depending on how the Organiser has set things up, this can include entrance check-in, session scanning, entry and exit scanning, access control, networking or lead scans, and proximity based tracking using Bluetooth. This allows the Organiser to manage access and to understand attendance and engagement.

The Organiser decides which of these features are used and for what purpose. The categories of information involved, and how they are used, are described in the Delekit Event Attendee Privacy Notice and in the Organiser’s own privacy information. If you have concerns about being scanned or tracked at a particular event, please raise them with the Organiser.

11. Communications

The Platform may send you messages that relate to your registration, such as confirmations, joining instructions, reminders and updates. These are sent on behalf of the Organiser and are part of providing the event.

Any marketing communications are controlled by the Organiser and, where required, are subject to your consent or your right to opt out. To change your marketing preferences or to stop receiving marketing about an event, follow the unsubscribe option in the message or contact the Organiser.

12. Payments and refunds

Where an event charges a fee, the Platform may collect that payment on behalf of the Organiser using a third party payment provider. Card payments are handled by that provider under its own terms, and Delekit does not store your full card details.

The price of registration, and any policy on cancellations, changes, refunds and chargebacks, is set by the Organiser. Delekit is not a party to the payment for the event and is not responsible for issuing refunds. Requests about pricing, invoices, cancellations or refunds should be directed to the Organiser.

13. Your privacy and data protection

How personal data is handled when you use the Platform is explained in the Delekit Event Attendee Privacy Notice. In summary, the Organiser is the data controller and Delekit acts as data processor on the Organiser’s behalf.

Platform infrastructure is hosted in the United Kingdom using Amazon Web Services (AWS) in the London region. We apply technical and organisational measures to protect personal data, including encryption in transit, access controls and monitoring, as set out in the privacy notice.

Your data protection rights, such as the right to access, correct or delete your personal data, are described in the privacy notice. Because the Organiser controls the data, these requests should normally be made to the Organiser. If you contact Delekit directly, we will pass the request to the Organiser where appropriate.

14. Intellectual property

The Platform and the Platform Content are owned by Delekit or our licensors, and are protected by intellectual property laws. The Delekit name and logo are trademarks of Delekit and may not be used without our permission.

We grant you a limited, personal, non-transferable licence to use the Platform for the purpose of registering for and attending an event. You have no other rights in the Platform. Content supplied by the Organiser, such as event branding, agendas and materials, belongs to the Organiser or its licensors.

15. Content you submit

Some events let you add information through the Platform, such as an attendee profile, a photo, questions, poll responses, or networking messages. You are responsible for the content you submit and confirm that you have the right to submit it and that it is not unlawful, offensive, misleading or in breach of anyone’s rights.

Content you submit is generally made available to the Organiser, who decides how it is used within the event, and to other attendees where the feature is designed to share it, for example a networking profile. To operate these features, you grant Delekit and the Organiser the right to host, store and display your content for the purpose of running the event. We may remove content that appears to breach these Terms or that the Organiser asks us to remove.

The Platform relies on trusted third party providers, for example for hosting, security and payments, and may contain links to websites or services that we do not control, including app stores and Organiser or sponsor websites. We are not responsible for the content or practices of third party sites, and their terms and privacy policies apply to your use of them. Current Platform sub-processors are listed in the Delekit Event Attendee Privacy Notice.

17. Availability of the Platform

We work to keep the Platform available and secure, but we do not promise that it will always be available, uninterrupted or free of errors. Access may be affected by maintenance, updates, or matters outside our reasonable control. We may change, suspend or withdraw features of the Platform where we reasonably need to.

Nothing in this section affects your legal rights as a consumer, including any right to services provided with reasonable care and skill.

18. Our responsibility to you

Nothing in these Terms limits or excludes our liability where it would be unlawful to do so. This includes liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, and for any other liability that cannot be limited or excluded under applicable law. If you are a consumer, your statutory rights are not affected by these Terms.

Subject to the paragraph above:

  • we provide the Platform to enable your registration and attendance, and we are not responsible for the event itself or for the acts or omissions of the Organiser, including admission decisions, the running of the event, health and safety at the venue, refunds, or how the Organiser uses your personal data;
  • we are not responsible for loss or damage caused by third party services outside our reasonable control, or by your failure to keep your login, link, badge or credentials secure; and
  • we are not liable for loss of profit, loss of business, or any indirect or consequential loss.

If you are a business user, our total liability to you arising out of or in connection with the Platform, whether in contract, tort including negligence, or otherwise, is limited to one hundred pounds (GBP 100). If you are a consumer, we are responsible for loss or damage you suffer that is a foreseeable result of our breaking these Terms or failing to use reasonable care and skill, but we are not responsible for loss or damage that is not foreseeable.

19. Your responsibility to us

If you are a business user, you agree to be responsible for any losses, costs and reasonable expenses we suffer arising from your breach of these Terms or your misuse of the Platform. This section does not apply if you are using the Platform as a consumer.

20. Suspension and removal of access

We may suspend or remove your access to the Platform if you breach these Terms, if we reasonably suspect fraud or a security risk, or if the Organiser asks us to in connection with your participation in the event. Where it is appropriate and lawful to do so, we will let you know. Removing your access to the Platform does not by itself cancel your registration for the event, which is a matter for the Organiser.

21. Changes to the Platform and these Terms

We may update the Platform and these Terms from time to time, for example to reflect new features, or changes in law or regulation. The current version will always be available on delekit.com, with the date it was last updated. If you continue to use the Platform after we post an updated version, you accept the updated Terms. We recommend that you review the Terms when you register for a new event.

22. Governing law and other terms

These Terms are governed by the law of England and Wales. Any dispute relating to these Terms or your use of the Platform may be brought in the courts of England and Wales. If you are a consumer resident elsewhere in the United Kingdom, you may also bring proceedings in the courts of the part of the United Kingdom where you live, and you benefit from the mandatory consumer protections of that place.

Severability. If any part of these Terms is found to be unenforceable, the rest of the Terms will continue to apply.

No waiver. If we do not enforce a right under these Terms straight away, that does not mean we give up that right.

Assignment. You may not transfer your rights or obligations under these Terms without our consent. We may transfer ours to another Delekit group company or in connection with a reorganisation or sale of our business, provided this does not reduce your rights.

Third parties. The Organiser may rely on and enforce the provisions of these Terms that are for its benefit. Otherwise, a person who is not a party to these Terms has no right to enforce them.
